How to delete HubSpot CRM Records

Keeping HubSpot CRM records organized and up-to-date helps users facilitate cross-team communication and accelerate lead management and conversion. When a CRM record is no longer valid or relevant, users can delete specific HubSpot records if they have “delete permission,” or bulk records if they have “bulk delete permission.” Important notes about deleting HubSpot CRM records include the following.

  • Deleted records are “unenrolled” from all workflows.
  • Deleting tickets triggers deletion of associate conversation(s) in your inbox.
  • Deleted records do not trigger the deletion of associated CRM records.
  • Deleted records can be restored within 90 days of deletion.

DELETING CRM ELEMENTS FROM WITHIN THE RECORD

  • Navigate to the record and select the element in your HubSpot account you wish to delete.
    • Contacts…click “Contacts” then “Contacts.”
    • Companies…click “Contacts” then “Companies.”
    • Deals…click “Sales” then “Deals.”
    • Tickets…click “Service” then “Tickets.”
    • Calls…click “Contacts” then “Calls.”
    • Custom Objects…click “Contacts” then the custom object. (If you have more than one, hover over the one you want to delete and click the one you want to delete.)
  • Click on the name of the record you wish to delete.
  • Click to open the “Actions” menu (left panel) and select “Delete.”
  • When deleting contacts, you must select if the deletion is reversible. Choose one.
    • “Delete this contact with the ability to restore within 90 days”
    • “Permanently delete this contact and all its associated content to follow privacy laws and regulations”
    • Click “Delete [name of record] to complete the action.

DELETING SINGLE OR BULK CRM ELEMENTS FROM THE OBJECT INDEX PAGE

  • Navigate to the record and select the element in your HubSpot account you wish to delete.
    • Contacts…click “Contacts” then “Contacts.”
    • Companies…click “Contacts” then “Companies.”
    • Deals…click “Sales” then “Deals.”
    • Tickets…click “Service” then “Tickets.”
    • Calls…click “Contacts” then “Calls.”
    • Custom Objects…click “Contacts” then the custom object. (If you have more than one, hover over the one you want to delete and click the one you want to delete.)
  • Click on the name of the record you wish to delete.
  • If deleting one record, find the record and click the corresponding checkbox. 
  • If deleting multiple records, select record checkboxes (table view).
  • If deleting deals and/or tickets, go to board view, hover over a record, and then click the checkbox. Note: selecting one card will generate checkboxes for all remaining cards.
  • Click “Select all [number] [records]” to delete all records on a given page or pipeline.
  • Click “Delete” (garbage can icon at the top of the table).
  • When a dialog box appears, enter the number of records you want to delete and click “Delete.”

DELETING HUBSPOT CONTACTS OR COMPANIES FROM A LIST

  • Navigate to your HubSpot contacts, and then your “Lists.”
  • Click on the name of the list you’re editing.
  • Select records to delete.
    • Click checkboxes for individual/specific records.
    • Click the checkbox in the upper left corner of the window to select all records, then choose “Select all contacts” or “Select all companies”.
  • Click the triangle next to “More” to engage the dropdown menu and then select “Delete.”
  • When prompted, confirm the number of items to be deleted, then click “Delete.”


ALERT: DELETING HUBSPOT CONTACTS RESULTS IN THE LOSS OF CERTAIN DATA

  • HubSpot interaction data (if not associated with an object)
    • Form submission data
    • Website visit information
    • List membership data (e.g., information of them being part of static lists)
    • Data from integrations (e.g., Salesforce, Wistia, GoToWebinar, SurveyMonkey)
    • Lifecycle stage transition data 
    • Information about custom event completion (Marketing Hub Enterprise only)
  • Existing HubSpot report data (not including engagement report data including calls, meetings, and tasks)
    • Deleted contacts (removed from counts in contact reports)
    • Visits from deleted contacts (removed from the count of contacts but left in the sources report)
    • Deleted contacts generated by a campaign (will remain visible as “No Contact” in the form submissions and landing page submissions reports)

Note: A HubSpot contact’s lifecycle stage may be adjusted due to association with other contacts and deals.
